Summary:
Responsible for providing office support including all cost control for various projects by monitoring, recording, and evaluating progress and delays encountered with various projects. In addition, the Project Assistant will collect, organize, and document all daily documents including timecards, permits, invoices, work orders, and assist with creating billing summaries for our clients under the direction of the Project Manager.

Essential Functions:
 
  • Assist management in compiling, analyzing, coding, and entering timecards, invoices, work orders, etc., into the Heavy Job database.
  • Help prepare or present reports, bid proposals, and after action reviews as needed.
  • Help and assist with managing subcontractor documentation and disputes.
  • Manage and assist leadership with overall billing process.
  • Ensure contract compliance with all clients, subcontractors, and vendors.
  • Document all project activities and data, as required.
  • Assist management to compile narrative or statistical information for input to standard reports and correspondence with upper management and/or clients
  • Confer with supervisor to determine project details.
  • Assist in the development of monthly margin projections for senior leadership
  • Assist accounts payables and receivables as needed

Other Tasks:
 
  • Assist senior project manager and/or project engineer with various tasks as needed.
  • Performs other related duties, as assigned.

Qualifications: To perform this job successfully, an individual must be able to perform each essential function and preferably can also perform other tasks satisfactorily.  The requirements listed below are representative of the knowledge, skill and/or ability required. 

Education and/or Experience:
Minimum:
 
  •  High School education or GED equivalent.
  • Must possess a valid state driver license.

Preferred:
 
  • Two or more years of vocational training or college course work, preferably in business, accounting, or a related field.
  • One year job related experience working in data entry, cost control, or accounting for construction administration/ management or related work.

Skills, Knowledge and Abilities:
 
  • Knowledge of and the ability to use a computer and software to record, track and design and analyze data.
  • Ability to professionally represent the company to suppliers, vendors, customers, regulatory agencies and the public.
  • Ability to effectively communicate information and ideas in writing and/or a statistical manner.
  • Ability to understand and effectively communicate verbally with others.
  • Ability to understand and follow written and verbal instructions.
  • Ability to analyze spreadsheets and financial statements
  • Ability to ensure that proper safety and incident reporting procedures are followed.
  • Ability to work with minimal supervision and exercise good judgment in prioritizing and carrying out duties as assigned.
  • Ability to wear protective clothing, as needed on project sites.
  • Ability to operate a vehicle to transport work related equipment, supplies and materials.
